Common errors

Errors that cause document rejection

Submitting incorrect documentation is a frequent cause of delays and rejections. These are the most common errors we see:

  • Expired document.
  • Missing apostille.
  • Missing legalization.
  • Incorrect or non-sworn translation.
  • Document issued in incorrect format.
  • Errors in names, dates or data.
  • Not knowing where it must be submitted.
What do you need the documents for?

We group documents by purpose, not by listing

Civil Registry certificates, apostilles and legalizations for residency, nationality or renewal procedures.

Documents for homologation or studies

Degrees, transcripts, apostilles and sworn translations for university convalidations.

How it works

How the initial guidance works

1

Tell us your situation

Briefly describe your procedure and what document you need.

2

We listen to you

We identify the area of your case and what may need review.

3

We explain the next step

We will tell you if you need more detailed advisory or if you can proceed on your own.

4

You decide

If your case requires it, we will explain the scope and cost before you contract anything.

Cases you should not overlook

These situations are not emergencies, but time can be an important factor. If you recognize any, do not wait.

Cases you should not overlook

Situations where seeking guidance sooner rather than later is advisable

Appointment at immigration or consulate in less than 30 days

If you have an appointment and still do not have the correct documents, we can guide you on what to request urgently.

Document rejected due to improper apostille or legalization

A rejected document can mean missing deadlines or having to repeat the entire procedure from scratch.

Documents with errors in names, dates, or data

An error in a document can invalidate it. The sooner you detect it, the easier it is to correct.

Passport or identity document about to expire

If you need an Apostilled document and your ID is about to expire, you need to act quickly.

Upcoming judicial appeal deadline due to rejected document

If a procedure was rejected due to a documentary problem and you have a deadline to appeal, do not let it pass.

Preguntas frecuentes

Frequent questions about documents and legalizations

We resolve the most common questions before you request guidance on your case.

What type of certificate do I need for immigration or nationality?
It depends on the procedure. For nationality or residency, the literal certificate with recent date is usually required. We guide you to identify the correct document.
What is the difference between literal, extract and multilingual certificate?
The literal reproduces all information. The extract is summarized. The multilingual has translation in several languages. The procedure determines which one you need.
When do I need apostille and when legalization?
The Hague Apostille is for countries that are parties to the Convention. For non-party countries, diplomatic legalization is required. We guide you according to the destination of your document.
Can I request the certificate directly from the Civil Registry?
Yes, you can request it online through the Ministry of Justice portal. But an incorrect format or inadequate document may cause your application to be rejected. The guidance helps you request the correct document.
Can they guarantee my document will be accepted?
No. No entity can guarantee the acceptance of a document. We can guide you prudently, review possible errors and explain the next step.
What if my document has errors?
Errors in names, dates or data may prevent the document from being accepted. We can guide you on how to correct the error before submitting the document.
Do you only serve Colombian cases?
No. Although the association has a strong bond with the Colombian community, we guide people of any nationality.
